A grant database pricing comparison is only as good as its dates. Every price here comes from the vendor's own page and carries the date it was seen, because Candid and GrantStation figures quoted on third-party pages no longer match what those vendors list.
If you are prospecting for the first time, the overview of how nonprofits find grants shows where a database fits in the wider search. The tools priced here do the discovery part of that job.
Quick Answer: What Does Each Grant Database Cost?
Grant database list prices run from $0 free tiers at Candid, Kindora and CharityEZ, through $249 a year for GrantWatch MemberPlus+ and $699 a year for GrantStation, to $999 per month paid annually for Instrumentl Full Lifecycle (vendor pricing pages, read September 2026). Seats, download caps and funder coverage decide which price fits a team.

Grant Database Pricing Comparison: The Full Table
A grant database is a search tool that returns open funding opportunities or funder profiles built from tax filings and listings. List price is only the first column; seats, caps, exports and billing terms decide what a year actually costs.
The paid market splits into two shapes. Opportunity-first databases return a list of open funding opportunities, and funder-first databases return grantmaker profiles (Peak Proposals, Choosing a Grant Database Based on Your Needs and Budget, January 28, 2021). GrantWatch sells the first shape, GrantStation and Candid sell the second, and Instrumentl's feature table claims both, with "36k+ active RFPs & 450k+ funder profiles" (vendor pages, read September 2026).
Billing shape matters as much as the headline figure. GrantStation does not sell monthly billing and states that it is set up only to accept payment in full for a membership (GrantStation FAQ, read September 2026). Instrumentl sells monthly or annual billing on three public tiers plus a custom Enterprise tier (Instrumentl pricing page, read September 2026). GrantForward and Clarivate's Pivot-RP publish no list price at all: both sell institutional subscriptions, and GrantForward prices by institution size (GrantForward, Subscribing to GrantForward; Clarivate, Pivot-RP landing page, read September 2026). Foundant's GrantHub is no longer a choice: trade sources report that GrantHub and GrantHub Pro were discontinued on January 31, 2026, and Foundant never published a price (Grantsights, August 3, 2026; Foundant, read September 2026). The migration guide for former GrantHub users covers the move.

Foundation Center Grant Database: What Candid Charges
A Foundation Center grant database search today means Candid search. Candid was formed in 2019 when GuideStar and Foundation Center merged, which is why Foundation Directory and GuideStar data now sit in one product line (Candid, About us, page dated February 18, 2025, read September 2026).
At its nonprofit-discounted rates, Candid Premium is $219 per month on the monthly plan and $100 per month with a starting price of $1,199 billed annually, while Ultimate is $142 per month with a starting price of $1,699 billed annually and Enterprise is quoted separately (Candid pricing page, read September 2026). Older figures still circulate on third-party pages; the live vendor page shows the figures quoted here.
Download caps are easy to miss. Candid Premium caps downloads at up to 250 grants and 750 profiles per month on the monthly plan, rising to up to 1,000 grants and 5,000 profiles per month on the annual plan, and download caps exist on every paid Candid tier (Candid pricing page, read September 2026).
Foundation Directory's Essential and Professional tiers were retired in 2026 with the move to Candid search, and Candid now sells two paid plans, Premium and Ultimate, plus Enterprise pricing on request (Candid pricing page and Candid Learning, read September 2026). Free routes exist. Candid offers free, in-person access at its partner locations, and its Go for Gold promotion gives a free year of Candid Premium to eligible nonprofits with annual revenue or expenses totaling less than $1M that earn a 2026 Gold Seal of Transparency (Candid Learning, How can I access Candid products without a subscription?, read September 2026).
Low-Cost Grant Databases for Small Teams
A low-cost grant database is a low-seat, low-fee product that covers funder profiles or open listings with few workflow extras. GrantStation, GrantLedger, GrantWatch and the entry tiers of Kindora and CharityEZ fill this slot.
GrantStation is a subscription grantseeking membership with a grantmaker database and weekly funding newsletter (GrantStation membership page, read September 2026). Regular pricing is one year at $699 and two years at $1,258 (GrantStation, Promotion Codes and Discounts, read September 2026). GrantStation is also a free annual benefit of Grant Professionals Association membership through the GPA Benefit Marketplace (Grant Professionals Association, Exclusive Offers from Partners, read September 2026).
GrantLedger sells access to search more than 11 million IRS grant records, the same 990 grant-list data other foundation databases parse (GrantLedger home page, read September 2026). GrantLedger Pro is $299 per year with a monthly option at $49 (GrantLedger pricing page, read September 2026). GrantWatch is an opportunity-listing subscription covering foundation, corporate, federal, state, local and tribal listings (GrantWatch, Pricing and Plans, read September 2026). Published MemberPlus+ prices are $22 per week, $49 per month, $100 per quarter, or $249 per year (GrantWatch, The Top 21 Features of GrantWatch, read September 2026).
Kindora and CharityEZ cover the low end with free entry points. Kindora Starter is $25 per month or $250 per year with 25 funders watched, 250 AI credits a month, 2 seats plus 2 guests and pipeline with basic exports (Kindora pricing page, read September 2026). CharityEZ Free is $0 per year and includes nationwide nonprofit and Form 990 search, $5 background checks and one concurrent user license (CharityEZ pricing page, read September 2026). Teams weighing Instrumentl against these cheaper picks can read our comparison of Instrumentl alternatives before deciding.

Grant Management Software Comparison: Database Plus Workflow
A grant management software comparison asks which subscription covers research plus pipeline, calendar and post-award tracking. Instrumentl bundles those jobs in one subscription, while GrantStation is a research membership, not an application-workflow tool (GrantStation membership page, read September 2026).
Instrumentl is a grant platform that combines funder discovery, pipeline tracking, AI-assisted proposal drafting and post-award spend tracking in one subscription (Instrumentl pricing page, read September 2026). Instrumentl Discover costs $299 per month paid upfront annually, or $349 paid monthly, for up to 3 users (Instrumentl pricing page, read September 2026). Instrumentl Pre-Award costs $499 per month paid upfront annually, or $579 paid monthly, for up to 5 users (Instrumentl pricing page, read September 2026).
Instrumentl Full Lifecycle, labeled Most Popular, costs $999 per month paid upfront annually, or $1,159 paid monthly, for up to 15 users (Instrumentl pricing page, read September 2026). Pipeline tracking and task management are included on all four Instrumentl tiers, but calendar integration with Google and Outlook starts at Pre-Award (Instrumentl pricing page, read September 2026). CRM integrations and collaborator access start at Pre-Award, while SSO, API access and onboarding start at Full Lifecycle (Instrumentl pricing page, read September 2026). Grant Professionals Association (GPA) members get "Two months free when subscribing to the annual subscription" of Instrumentl (Grant Professionals Association, Exclusive Offers from Partners, read September 2026).
Kindora sits lower on price with research and pipeline together. Kindora Pro is $199 per month or $1,990 per year with unlimited funders watched, 8 seats plus unlimited guests, collaboration tools and real-time alerts (Kindora pricing page, read September 2026). CharityEZ's upper tiers add relationship intelligence instead: Business is $180 per month billed monthly or $1,990 a year billed annually, with two users included and relationship intelligence up to 500 names (CharityEZ pricing page, read September 2026). The workflow side on its own is covered in our review of grant management tools for nonprofits.
Seats, Exports and Caps: What a Year Really Costs
A research account keeps saved funders, searches, alerts and exports in one place, and its seats, exports and caps decide the real price. Included seats run from one concurrent user on CharityEZ Free (CharityEZ pricing page, read September 2026) to 15 users on Instrumentl Full Lifecycle (Instrumentl pricing page, read September 2026).
Kindora scales from 1 user plus 1 guest on Explore to 8 seats plus unlimited guests on Pro (Kindora pricing page, read September 2026). CharityEZ Free carries one concurrent user license, and adding a second user moves the organization to AI Gold automatically (CharityEZ pricing page, read September 2026). GrantLedger prices volume licenses per user, from $224 each at 10 users down to $150 each at 100 users (GrantLedger pricing page, read September 2026).
Exports differ by tier. Kindora gives basic exports on Starter and advanced exports on Growth (Kindora pricing page, read September 2026). Instrumentl lets you download a CSV of past-grantee data from any selected year (Instrumentl help center, Basic Funder 990 Insights, read September 2026). Grants.gov offers bulk export of search results through its Export Detailed Data control, so federal data can be pulled into a spreadsheet with no paid tool (Grants.gov, Search Grants, read September 2026).
Freshness has a ceiling set by filings, not vendors. The IRS publishes the full Form 990 series as free bulk XML downloads with dataset files updated monthly (IRS, Tax Exempt Organization Search bulk data downloads, read September 2026). Instrumentl says it retrieves 990 information within a week of filings becoming publicly available, so the freshness ceiling of any 990-based tool is set by the IRS release schedule and not the vendor (Instrumentl help center, How Instrumentl creates 990 insights, updated June 18, 2026). Coverage has structural gaps too: Instrumentl notes that "government and corporate funders are not required to file Form 990s with the IRS, so these funders will not have a 990 Report or any Funder Insights" (Instrumentl help center, Locate funder profiles, read September 2026).

Gates Foundation Grant Database and Free Sources
A Gates Foundation grant database search is a single-funder research job: the grants one large foundation has made and who received them. None of the paid tools priced here sells a funder-specific database, so start with the foundation's own website and annual report, then its public filings.
Grantmakers.io is a free starting point for single-funder history. It is a free, open-source, no-login search of the IRS 990-PF dataset with foundation profiles, grants search and grantee search (Grantmakers.io home page, read September 2026). ProPublica Nonprofit Explorer covers the same filings with full documents. It is a free tool to browse millions of annual returns filed by tax-exempt organizations, searchable by organization, person or the full text of filings, last updated in August 2026 (ProPublica Nonprofit Explorer, updated August 20, 2026).
Grants.gov belongs in every comparison even though it holds no foundations: it is free, requires no subscription, and is the federal portal for discretionary federal funding opportunities (Grants.gov home page, read September 2026). GrantAdvisor answers reputation and not discovery. It is a free site where grantseekers write reviews of funders, not a grant database, and profiles go public only once enough reviews accumulate (GrantAdvisor home page, read September 2026).
For a single-funder check, GrantCue's public directory holds more than 10,000 private foundation profiles built from IRS 990-PF public filings, one page per foundation keyed by name and EIN, beside live federal, state and foundation listings (grantcue.com, September 2026). Its free personal tier is $0 with 10 active opportunities and 3 AI summaries a month, and paid tiers start at $49 a month for 3 users (grantcue.com, September 2026). A single-foundation page on GrantCue can sit beside the free filing tools above.
FAQ
Which Grant Databases Bill Monthly?
Most of them. GrantWatch, Kindora, GrantLedger, CharityEZ, Candid and Instrumentl all publish monthly options, while GrantStation takes payment in full for a one- or two-year membership (vendor pricing pages and GrantStation FAQ, read September 2026). Monthly billing costs more over a year but suits a short research push.
What Is the Foundation Center Grant Database Now?
The Foundation Center grant database now sits inside Candid, formed in 2019 when GuideStar and Foundation Center merged, and its data is sold through Candid search (Candid, About us, page dated February 18, 2025, read September 2026). Candid's pricing page lists a free tier and, at nonprofit-discounted rates, Premium at $219 a month or from $1,199 billed annually, and Ultimate from $1,699 billed annually (Candid pricing page, read September 2026).
What Should a Grant Management Software Comparison Cover?
A grant management software comparison should cover seats, billing, pipeline features, integrations, exports, caps and data sources with dates. Instrumentl Discover at $299 per month annual covers pipeline tracking for up to 3 users but gates calendar integration to Pre-Award and above (Instrumentl pricing page, read September 2026). Match the tier to the workflow and not the logo.
How Do Seats and Download Caps Change the Price?
They decide how far one login stretches. Instrumentl includes 3, 5 or 15 users by tier, and Candid Premium includes 2 user licenses with downloads capped at up to 250 grants and 750 profiles a month on the monthly plan, or 1,000 grants and 5,000 profiles a month on the annual plan (Instrumentl pricing page, Candid pricing page and Candid Learning, read September 2026). Divide the yearly cost by the people who need access.
Do Entry Tiers Run Out as a Team Grows?
Often. Kindora Starter covers 2 seats plus 2 guests and 25 funders watched, against 8 seats plus unlimited guests and unlimited funders watched on Pro (Kindora pricing page, read September 2026). One commenter on Reddit warned that "the cheap tiers cap records and attachments and you will hit the ceiling" (Reddit thread 1vydvxu, read September 2026). Price the tier you will need in a year, not the one you need today.
Is There a Free Gates Foundation Grant Database?
Free search tools for Form 990-PF filings show a private foundation's grant history at no cost. Grantmakers.io offers free, no-login foundation profiles, grants search and grantee search over the IRS 990-PF dataset (Grantmakers.io home page, read September 2026), and ProPublica Nonprofit Explorer adds full filing text and PDFs (ProPublica Nonprofit Explorer, updated August 20, 2026). Check the foundation's own website and annual report first.
Buy the Smallest Plan That Covers Your Funder Mix
Price follows three choices: funder-first or opportunity-first, seats with exports, and free sources beside the paid seat. Where a vendor offers a trial, run it before paying, and record the list price, trial length, seat count, caps and export format on the day you test. The free workbook carries every price in the comparison table with its date seen, plus live formulas that annualize monthly prices and divide the yearly cost by seats.
