Grant Management Software Without Prospect Research

Which grant tools sell tracking without a funder database, what each costs as published in September 2026, and how to decide whether prospect research belongs in your plan.

Grant management software without prospect research is the tracking half of grant software sold on its own, with no database of funders to search. Teams look for it when they already know most of their funders and a search engine inside a bundled plan would sit idle.

The split matters because you pay for everything in a plan whether you use it or not. A team that applies mostly to repeat funders gets little from a funder database it opens twice a year. A team hunting for new funders every month gets a great deal from the same database. Pricing the two halves separately shows which team you are.

GrantCue sells one of the products compared here, so every competitor figure below is tied to a public source and the date it was read.

Quick Answer: Is There Grant Management Software Without Prospect Research?

Yes. Grantseeker Classic's Premium plan covers tracking at $19.99 a month, and funder search and 990 data come only in Prospecting at $51.99 a month (Grantseeker pricing page, September 2026). Euna lists grant seeking and grants research as separate products, MIP Accounting tracks grants inside accounting, and Instrumentl bundles its funder database into every plan (vendor pages, September 2026).

What Grant Management Software Without Prospect Research Covers

Grant management software without prospect research covers the work that starts once you have chosen a funder: applications in progress, deadlines, tasks, documents, award budgets and reports. What it leaves out is the funder database, the search tool for foundations, open opportunities and past grants.

Fluxx draws a similar line in the FAQ on its Grantseeker product page: "Grant tracking software helps organizations manage active grants, including deadlines, reporting, budgets, and team responsibilities. Grant management software is a broader category that may include both grantseeking and grantmaking workflows." (Fluxx, Grantseeker product page FAQ, read September 2026). Prospect research is a third job that some products fold into either one. Our guide to grant management software for nonprofits covers the wider category, with features and pricing.

The federal lifecycle shows where each job falls. Grants.gov groups a grant's life into a pre-award phase for funding opportunities and application review, an award phase for decisions and notifications, and a post-award phase for implementation, reporting and closeout (Grants.gov, The Grant Lifecycle, September 2026). Prospect research sits at the front edge of the first phase. Tracking runs through all three, and after the award it carries most of the load, because "Award recipients conduct two primary types of reporting to the funding agency on a regular basis: financial reporting and programmatic reporting." (Grants.gov, The Grant Lifecycle, September 2026).

A grant tracker is software or a structured file that records each application and award with its dates, owners, documents and money. Most of its work comes after submission, when one award becomes a series of reports, as one commenter in a Reddit thread observed (Reddit thread 1vydvxu, read September 2026).

Prospect research in this sense means finding funders. It is a different job from research administration, the sponsored-projects software universities use to run research grants, which is a separate category with its own vendors.

Why Teams Want Tracking Without Paying for Prospecting

Teams want tracking without prospecting when most of their applications go to funders they already know, because a bundled funder database bills them every month for searches they run a few times a year.

The objection shows up in one Reddit thread, where a commenter who rated Instrumentl's tracking still warned that "you're gonna be paying for all the other (now AI-driven) features even if you don't use them" (Reddit thread 1vydvxu, read October 2026). In another thread, a commenter weighing Instrumentl granted that "It does find more grants, hands down... but not like an extra $2800/yr of results" (Reddit thread 1wiivcd, read September 2026). That dollar figure is the commenter's own comparison, not a price Instrumentl publishes.

The tracking half is where the reported pain sits. Euna Solutions, which sells grant software to the public sector, reported from its 2026 State of Grants Management and Technology Report that "40% of organizations are applying for more grants to fill revenue shortfalls, but 38% identified the lack of a centralized tracking system as one of their top three challenges in competing for that funding" (Euna Solutions blog, April 24, 2026). The same vendor survey found that "39% of grants staff spend up to half their working hours on manual tasks such as data entry, documentation, and reporting" (Euna Solutions blog, April 24, 2026). Both are one vendor's survey findings, so weigh them as that.

The objection is right for some teams and wrong for others. A renewal-heavy pipeline gets little from a funder database. A young organization, or one replacing a large grant it lost, may find that research is the half worth paying for. The decision turns on how many new funders you need in a year, not on how a vendor packages its plans.

Which Grant Management Tools Sell Tracking Without Prospect Research

Tracking is sold apart from prospect research in four ways: a cheaper plan below a prospecting plan, a separate product from the same vendor, a grants module inside accounting software, and a general database you set up yourself. Instrumentl goes the other way and includes its funder database in every plan, and AmpliFund describes its Grant Seeker product as covering "opportunity research" (Instrumentl pricing page, September 2026; Weber County AmpliFund order form, undated, read September 2026).

Grantseeker Classic is the clearest case of the split. Premium is "$19.99 /month" for "Grant tracking & deadline management," program budgeting, unlimited shared document storage and reminders, while Prospecting is "$51.99 /month" and adds advanced funder search and 990 data; annual billing lets buyers "Save up to 25%," and "All plans include a 14-day free trial" (Grantseeker pricing page, September 2026). Grantseeker Pro sits above both with "Formula-Based Pricing scaled to your organization" and is "Ideal for Organizations managing $1M+ in grants annually with advanced compliance needs" (Grantseeker pricing page, September 2026).

Grantseeker joined Fluxx "effective November 7, 2025" (Grantseeker, Grantseeker Re-acquired by Fluxx, November 12, 2025), and Fluxx's own product page says "Fluxx Grantseeker helps you manage the grants you receive today" (Fluxx, Grantseeker product page FAQ, read September 2026). The Fluxx demo page FAQ lists "Grantseeker starting at $6,000 per year" without naming the plan (Fluxx demo page FAQ, July 25, 2026). Treat that figure as a separate offering from Grantseeker Classic Premium, and ask Fluxx directly whether it includes funder search.

Euna Solutions lists "Grants Research Software", "Grant Seeking Software" and "Grant Making Software" as three separate products on its grants page (Euna Solutions grants page, September 2026). The seeking product covers tasks, deadlines, workflows and reporting, and the research product covers opportunity discovery, so ask whether the seeking product can be quoted without the research product.

MIP Accounting approaches grants from the ledger. Its Grants Administration module lets you "track details like grantor name, grants official, contact information, grant period, reporting periods, indirect cost rate, and more all from within MIP" (MIP Accounting, Nonprofit Reporting Software, June 22, 2022). That suits a team whose finance office already runs MIP, since the grant record sits beside the books.

General tools cover tracking with no research at all. Airtable's Free plan allows 1,000 records per base, and "Free plan workspaces are limited to 5 collaborators with Editor or Creator permissions" (Airtable Support, September 2026). Microsoft continues "Up to 300 granted licenses of Microsoft 365 Business Basic" for nonprofits (Microsoft Tech Community, May 19, 2025), and that plan includes Microsoft To Do, Lists and Planner (Microsoft, September 2026). One commenter in a Reddit thread said to "open Microsoft Lists before you spend anything," and another in the same thread suggested Power Automate flows for email reminders (Reddit thread 1vydvxu, read September 2026).

What Tracking Without Prospect Research Costs

Among the grant tools named here, Grantseeker Classic Premium is the only plan with a published price that leaves funder search out: $19.99 a month (Grantseeker pricing page, September 2026). Euna publishes no price list, so its figures come from public quotes. Hays County, Texas, was quoted $19,000.00 for a Euna Grants renewal term running October 1, 2025 to September 30, 2026, on a line item named "Grants Local - Grant Seeking Suite - USD 200M to 400M Unlimited Users" (Hays County order form, quote dated April 29, 2025).

On Grantseeker Classic's monthly list prices, before any annual-billing saving, funder search and 990 data add $32.00 a month: Prospecting at $51.99 a month minus Premium at $19.99 a month (Grantseeker pricing page, September 2026). That subtraction is ours, not a figure Grantseeker publishes, but it puts a number on the objection at one vendor.

Euna's quotes price the organization and list services separately. Euna says its "pricing model is based on organization size rather than per-user fees" and that "Most vendors also charge separately for implementation, integrations with your financial system, and ongoing support" (Euna Solutions blog, April 24, 2026). The Hays County quote shows the pattern: added to the $19,000.00 renewal term, a prorated first term of $4,750.00 and 22 hours of implementation at $220.50 an hour ($4,851.00) brought the quote to $28,601.00, and it noted "eCivis apply a 5% increase beginning in year 2" (Hays County order form, quote dated April 29, 2025). MIP publishes no price; TrustRadius sends buyers to MIP's request-a-demo page "For the latest information on pricing" (TrustRadius, MIP Fund Accounting Pricing, September 2026).

Per-user pricing moves the other way as a team grows. Airtable's Team plan charges for users with edit permissions, and "No charges will apply on a Team or Business plan for read-only collaborators, form submissions, or share links" (Airtable pricing page, September 2026), so a tracker with two editors pays for two seats however many colleagues only read it. The research side has its own price list, and the grant database pricing comparison sets those subscriptions side by side.

When Prospect Research Belongs in Your Subscription

Prospect research belongs in your subscription when finding new funders is weekly work. It can come out when most applications go to funders you already know.

Your situationBuy tracking only?Reason
Most applications are renewals or repeat fundersYesThe funder database would sit idle between rare searches
You add a few new funders a yearYes, with occasional research accessShort research bursts can use free access or a month of a paid plan
You need new funders every monthNoResearch is weekly work, so a bundle or a separate research subscription earns its cost
Finance wants grant records beside the ledgerLook at an accounting-side moduleThe grant record sits with the books
Several people share deadlines and reportsPut tracking firstReminders and a change history matter more than search

Start with last year's applications. Mark each funder as new or repeat, then count. If repeat funders dominate, the database in a bundle mostly sat idle, and a tracking-only plan plus occasional research would have covered the year.

MeasureTeam ATeam B
Applications submitted last year1430
Applications to repeat funders119
Applications to funders new to the team321
Share going to new funders21 percent70 percent
Tracking-only verdictYes, research sits idle most monthsNo, research is weekly work

Illustrative figures, not data from a real organization.

Team A sent 3 of its 14 applications to new funders, so a funder database would have been busy for only a few weeks of the year. Team B sent 21 of its 30 applications to new funders, and dropping research would cut off most of its pipeline. The same tracker serves both teams; only the research line differs.

A spreadsheet may still be enough. One commenter's advice was blunt: "if the process isn't broken, I don't really see a reason to fix it" (Reddit thread 1vydvxu, read October 2026). Another commenter in the same thread named what a workbook lacks beside a tracker: "Reports, dashboards, reminders, automations, etc." (Reddit thread 1vydvxu, read October 2026). When missing reminders start costing you reports, pay for a tracker, with or without research. Until then, a simple spreadsheet for tracking grants is a place to start.

Covering Prospect Research Without a Bundled Database

Without a bundled database, cover prospect research through free access programs and buy a research subscription only when a prospecting push justifies it.

Candid says "We offer free access to these Candid tools and other resources through over 2,180 locations across the United States" (Candid blog, July 15, 2026), and its partner network includes "public libraries, university and community college libraries, public charities, and nonprofit resource centers" (Candid blog, February 20, 2024). Not every location may still offer it: one commenter noted that "a lot of places have been dropping Candid over the past year or two" (Reddit thread 1p511oo, read September 2026). Call ahead before you plan a research day.

Research can also be bought on its own. GrantStation's regular price is "One-Year Membership: $699 USD" (GrantStation discounts page, September 2026), though its own membership page sold one year for $199 and two years for $299 in October 2026 (GrantStation membership page, read October 2026). TechSoup lists that membership at $199, or $150 for TechSoup Plus members (TechSoup Support, updated August 6, 2026), and its two-day $119 offer on September 15 and 16, 2026 has closed (TechSoup, GrantStation for Nonprofits, read September 2026). Monthly billing is another lever: Instrumentl lists Discover at $349 paid monthly, and Grantseeker Classic Prospecting is $51.99 a month (Instrumentl pricing page, read October 2026; Grantseeker pricing page, September 2026). Check the cancellation terms before you plan around a single month. The free tiers research tools offer, and where each one stops, are compared in grant research tools with a free tier.

GrantCue does not sell tracking and discovery separately: its pricing page puts "Search every source GrantCue covers, with saved searches and email alerts" on every plan, beside the pipeline board and reminders (grantcue.com, October 2026). The Free plan is $0 a month for 1 user and up to 10 tracked grants, with a calendar feed for deadlines, and Essentials is listed at $49 a month for up to 3 users and up to 75 tracked grants (grantcue.com, October 2026). If your objection is paying for search you will not use, test whether the included search covers your funders before you choose a plan on the GrantCue pricing page.

FAQ

Does Instrumentl Have a Plan Without Its Grant Database?

No. Instrumentl's pricing page lists "37k+ active RFPs & 450k+ funder profiles" and "Pipeline tracking & task management" on all four plans, so the database comes with every tier, and the page lists no free plan (Instrumentl pricing page, read October 2026). A team that wants tracking alone has to look at other vendors or a general tool.

Can You Trial Prospect Research Before Adding It to Your Plan?

Two of the vendors named here allow it. Instrumentl says "you can try any plan for 14 days before committing," and Grantseeker says "All plans include a 14-day free trial," Prospecting included (Instrumentl and Grantseeker pricing pages, September 2026). GrantStation states "We don't offer a free trial" (GrantStation FAQ, September 2026). Use a trial as a test: run a normal month's searches and count the funders your current list does not already hold.

Can You Pair a Grant Database With a Separate Tracker?

Yes. One commenter in a Reddit thread describes that workaround: GrantStation for grant research, and "an internal tracking sheet" for grant management (Reddit thread 1wiivcd, read October 2026). The cost is retyping. Give each opportunity one ID in both places, copy only the fields you act on, and move a prospect into the tracker on the day you decide to apply.

How Do You Switch From a Bundled Tool to a Tracking-Only One?

Export your pipeline before the renewal date, while you still have access. Map each exported column to a field in the new tracker, import open applications and active awards first, and bring closed records over afterward. Rebuild reminders for every open report date in the new tool before you cancel the old one, and keep the final export as a dated record.

Should Prospect Research and Tracking Come From One Vendor?

One vendor saves retyping, because a funder you find becomes a pipeline item without a copy step. Two vendors let you drop research in a quiet year and keep tracking. Choose one vendor when you prospect every month and several people act on what research finds. Choose two when research is occasional, and give the tracker the longer commitment.

Price the Tracking Half Before You Renew

List every application from the past year and mark each funder as new or repeat. If repeat funders dominate, ask each vendor on your shortlist for a price without the funder database, and compare it with the bundled price you pay now.

Then trial the tracking side on real work. Load your open awards, set reminders against a real report date, and see whether the people who own each deadline act on them.

Before you move records, confirm the product is still sold. GrantHub, a grantseeker tracker from Foundant, was discontinued on January 31, 2026, according to Instrumentl and IGX Solutions (Instrumentl, GrantHub migration page, September 2026; IGX Solutions blog, June 11, 2025), and the GrantHub sunset guide covers moving off it.

Keep research as its own line in the budget. Drop it in a quiet year, and restore it for the months you need new funders.
