Instrumentl costs $299 a month on its entry plan, Discover, when the year is paid upfront, or $349 a month paid monthly, for up to 3 users. Pre-Award is $499 a month paid annually or $579 paid monthly, Full Lifecycle is $999 or $1,159, and Enterprise is priced by quote (Instrumentl pricing page, read October 2026). No free plan is listed, and every plan can be tried for 14 days without a credit card.

A year of Discover comes to $3,588 paid upfront, or $4,188 if you pay month by month. Those are twelve times the listed monthly prices, not totals Instrumentl prints. After the plan itself, three things move the bill: how many people need a login, whether the writing and post-award tools will be used, and how you pay.

Quick Answer: How Much Does Instrumentl Cost?

Instrumentl costs $299, $499 or $999 a month paid upfront annually for its Discover, Pre-Award and Full Lifecycle plans, or $349, $579 and $1,159 paid monthly (Instrumentl pricing page, read October 2026). On annual billing that is $3,588 to $11,988 a year. Enterprise is custom pricing. Every plan has a 14-day free trial, and there is no free plan.

Instrumentl labels Full Lifecycle "Most Popular" and shows one price list on the page. Its help center says each tier on the pricing page "can be configured for consultants" (Instrumentl help center, How Consultant Plans work, read October 2026), and the pricing page notes that peer prospecting is "Not available on consultant plans." A consultant should ask what the consultant version of a plan costs rather than assume the figures above apply.

Divided by the users included, annual billing works out to roughly $100 per user per month on Discover and on Pre-Award, and about $67 on Full Lifecycle. That is arithmetic on the published prices, but it shows why a fourth or sixth person can push a team up a tier.

What Each Plan Adds

Every plan includes the database, which the pricing table describes as "37k+ active RFPs & 450k+ funder profiles", along with pipeline tracking and task management (Instrumentl pricing page, read October 2026). The menu on the same page says "Browse 550k+ funder profiles", so the two counts on one page differ. Every tier searches the same database; the higher tiers add tools around it.

Discover also covers foundation profiles with 990 reports, recipient profiles, deadline reminders and PDF or CSV reports. Pre-Award's CRM sync runs one way, to Salesforce, Raiser's Edge NXT or Virtuous, and Full Lifecycle connects to Sage Intacct and QuickBooks Online (Instrumentl help center, plan articles, read October 2026).

The biggest step is Pre-Award to Full Lifecycle: $500 a month more on annual billing, for the post-award money tools, SSO, API access and ten more users. A team that tracks award spending in its accounting system already should test whether it would use Spenddown before paying for it.

Users, Collaborators and Projects

The "users" on the pricing page are Core Users, the people who log in. Discover includes 3 Core Users and 40 projects; Pre-Award includes 5 Core Users, 10 Collaborators and 40 projects; Full Lifecycle includes 15 Core Users, 20 Collaborators and 40 projects (Instrumentl help center, plan articles, read October 2026).

Collaborators are not logins. They receive tasks by email, mark them complete there, and "cannot log in" (Instrumentl help center, All about Collaborator access, read October 2026). They suit a finance director or program lead who owes the grant writer a budget or a report, not a second researcher.

Need one more Core User? The help center says that for "one or two users beyond your plan's seat limit, simply reach out to our Support team" (Instrumentl help center, Adding user seats to your account, read October 2026). No price for an added seat is published, and the same article says a Discover team that needs more than 3 users is likely ready for Pre-Award. Ask for the seat price in writing.

Monthly or Annual Billing

Paying monthly costs $600 more a year on Discover, $960 more on Pre-Award and $1,920 more on Full Lifecycle, compared with paying upfront (arithmetic on the Instrumentl pricing page, read October 2026). Monthly billing suits a short research push; annual billing pays off once the tool is part of the routine.

You can switch either way. Switching between annual and monthly billing "results in an immediate reset of your billing cycle", and unused time on the old cycle is credited to the new invoice (Instrumentl help center, Cancel your subscription, June 9, 2026). One commenter weighing the cost in September 2026 summed it up as "Instrumentl is like $3k a year" (Reddit thread 1wiivcd, read October 2026); the published annual figure for Discover is $3,588.

Trial, Discounts and Who the Prices Apply To

The 14-day trial needs no credit card (Instrumentl pricing page, read October 2026). Instrumentl collects no payment details at trial signup, so when a trial expires "there is no charge or automatic enrollment in a paid plan" (Instrumentl help center, Cancel your subscription, June 9, 2026).

Asked whether it discounts for nonprofits, Instrumentl's FAQ answers that "our pricing is our nonprofit pricing" (Instrumentl FAQ page, read October 2026). One published discount exists through a membership: Grant Professionals Association members get "Two months free when subscribing to the annual subscription", redeemed through the GPA site after logging in (Grant Professionals Association partner offers page, read October 2026).

Check eligibility before the trial. The FAQ says Instrumentl is "only working with US-based nonprofits registered under the 501c(3) tax-exemption status" and that its database "only includes grants designed for nonprofit organizations". It also says it serves nonprofits of all sizes, while those with 501c3 status and "at least $1M+ in operating revenue succeed most" with it (Instrumentl FAQ page, read October 2026). The pricing page describes Enterprise for "multi-site organizations, universities, municipalities, and health systems".

Cancellation, Refunds and Renewal

Instrumentl subscriptions "renew automatically unless canceled", and a renewal email goes out "a couple of days before the end of every billing cycle" (Instrumentl help center, Cancel your subscription, June 9, 2026). You can cancel at any time and keep access to the end of the cycle, but "refunds are not issued for the unused time left in your billing cycle".

Only a Core User with the Admin role can cancel, and the help center recommends requesting cancellation at least 2 business days before the renewal date. Download your records first: closed account data is "queued for permanent deletion 30 days from your last day of service" (Instrumentl help center, Cancel your subscription, June 9, 2026).

A pause is the alternative. Maintenance Mode keeps the data for up to 3 months at $5 a month, once per calendar year, with no access to the Tracker or Matches while it runs. On annual billing the pause starts when the paid year ends and the subscription moves to monthly billing (Instrumentl help center, Maintenance Mode, July 21, 2026).

If the Price Is More Than the Job

Most of what separates the tiers is workflow, so a team that mainly needs tracking should price a tracker beside Discover. GrantCue, which publishes this guide, lists a Free plan at $0 for one user tracking up to 10 grants, Essentials at $49 a month or $39 a month billed annually ($468 a year) for up to 3 users, and Team at $109 a month for up to 8 users, with 14 days of Team on every new account and no card (grantcue.com/pricing, read October 2026). Its funder data is smaller than Instrumentl's: a public directory of 11,279 private foundations built from 990-PF filings (grantcue.com/foundations, read October 2026), against the 450k+ funder profiles Instrumentl lists. The GrantCue and Instrumentl comparison sets the two out feature by feature.

For research tools that cost less than Discover, the guide to free and cheaper Instrumentl alternatives prices them one by one, and the grant database pricing comparison puts Instrumentl beside Candid, GrantStation and the free 990 sources.

FAQ

Does Instrumentl Have a Free Plan?

No. Instrumentl's pricing page lists Discover, Pre-Award, Full Lifecycle and Enterprise, and no free plan (Instrumentl pricing page, read October 2026). Every plan has a 14-day free trial with no credit card required, and when the trial ends, access stops without a charge (Instrumentl help center, Cancel your subscription, June 9, 2026).

How Much Is Instrumentl per Year?

Twelve months on annual billing come to $3,588 for Discover, $5,988 for Pre-Award and $11,988 for Full Lifecycle, based on the listed prices of $299, $499 and $999 a month paid upfront (Instrumentl pricing page, read October 2026). Paying monthly raises those to $4,188, $6,948 and $13,908. Enterprise is quoted.

Does Instrumentl Offer a Nonprofit Discount?

Not separately. Instrumentl's FAQ says "our pricing is our nonprofit pricing", so the listed prices are the nonprofit prices (Instrumentl FAQ page, read October 2026). Grant Professionals Association members get two months free on an annual subscription (Grant Professionals Association partner offers page, read October 2026).

Can You Get a Refund From Instrumentl?

Not for unused time. You can cancel at any time and keep access until the end of the billing cycle, but "refunds are not issued for the unused time left in your billing cycle" (Instrumentl help center, Cancel your subscription, June 9, 2026). Maintenance Mode pauses a subscription for up to 3 months at $5 a month instead.

How Many Users Come With Instrumentl Discover?

Discover includes 3 Core Users and 40 projects (Instrumentl help center, Discover Plan, read October 2026). It includes no Collaborator seats; those start on Pre-Award, with 10 (Instrumentl help center, All about Collaborator access, read October 2026). For one or two extra users, Instrumentl asks you to contact support, and it publishes no price for the added seat.

Before You Start the Trial

Write down three numbers before the 14 days begin: the people who need a login, the applications you expect to write this year, and the month your budget renews. The first decides the tier, the second whether drafting tools will earn their cost, and the third whether to pay monthly or annually.

Run the trial against funders you already know and note what it found that free tools did not. If you buy, put the renewal date on the calendar with a reminder a week ahead; cancellation should reach Instrumentl at least 2 business days before it.
